The Project Assistant will support the Project Manager in administrative, financial, and compliance matters, ensuring efficient coordination and communication among all project stakeholders for the successful implementation of the FISH-CAP (Fisheries Capacity Advancement Project).
Essential Responsibilities:
1. Administrative Support
- Assist in the day-to-day administrative tasks, including scheduling meetings, preparing agendas, and maintaining project documentation.
- Ensure effective record-keeping and filing of all project-related documents.
- Provide logistical support for project activities, including workshops, training sessions, and stakeholder meetings.
2. Financial Management
- Assist in the preparation and management of project budgets, ensuring all expenditures are in line with approved budgets and financial policies.
- Maintain accurate financial records, process invoices, and manage petty cash.
- Support the Project Manager in preparing financial reports for submission to the donor.
3. Compliance and Reporting
- Ensure compliance with all donor requirements, including reporting, procurement, and financial management guidelines.
- Assist in the preparation and submission of timely and accurate project reports, including quarterly and annual reports.
- Monitor project activities to ensure adherence to donor and organizational policies.
4. Stakeholder Coordination
- Facilitate effective communication and coordination among all project stakeholders, including local cooperatives, government agencies, and partner organizations.
- Assist in organizing stakeholder meetings, workshops, and knowledge sharing events.
- Maintain a database of project stakeholders and ensure regular updates and communication.
5. Monitoring and Evaluation Support
- Assist in the development and implementation of the project’s monitoring and evaluation framework.
- Collect and compile data for project monitoring, ensuring accuracy and completeness.
- Support the Project Manager in analyzing project data and preparing evaluation reports.
Other duties:
- Perform any other tasks as assigned by the Project Manager to ensure the smooth
implementation of the project. - Provide support in capacity-building activities and training sessions as needed.
Qualifications:
- Bachelor’s degree in Business Administration, Finance, Project Management, or a related field.
- Minimum of 3 years of experience in administrative and financial management, preferably in a development project setting.
- Strong organizational and multitasking skills with attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with financial management software.
- Ability to work independently and as part of a team.
- Fluency in Tagalog and English.
