The Procurement Assistant will be responsible in supporting all procurement tasks and responsibilities in the Head Office. This includes procurement requirements for Special Projects.
Essential Responsibilities:
- Sourcing and solicitation of quotations/proposals within 7 days from the date of RFQ (Request for Quotation) from Sector/Division concerned.
- Creation of Purchase Requests and Purchase Orders (PO) for the Head Office and the Community Development Projects (CDP), when necessary.
- Checking of procurement requests filed in Docswave from CDPs and Head Office including its attachments by reviewing, comparing, analyzing the products and/or services to be purchased.
- Assisting in the bidding process by preparing the Comparative Report with the guidance and supervision of the Procurement Manager.
- Preparation of Fund Requests and Settlement Reports for procurement under bidding and non bidding process.
- Negotiation of quotations and proposals received from suppliers.
- Other duties and tasks that maybe assigned from time to time by the Procurement Manager.
Qualifications:
- At least 3 to 5 years of procurement / purchasing experience in a fast-paced environment.
- Proficiency in using Microsoft Office applications (Word, PowerPoint, Excel)
- Keen to details, resourceful and diligent.
- Experience working for an international non-government organization is a preference
- Has high level of integrity and ethical behavior in handling sensitive procurement information.
- Able to work with a team efficiently
- Excellent command of the English language (verbal and written communication)
